Archive the finished reports?
After all the reports in a reporting period a completed, i.e. checked and downloaded or printed, the final step is to archive them.
- Archiving the reports is important because it protects the reports from accidental changes if the previous reports ever need to be updated.
- If you are in a newer semester, select the semester to archive with the Set Reporting Period command.
- Choose the Set Reports Progress command.
- Repeatedly click on the Next button for a year until the green tick is in the Archived column.
- Repeat step 3 for each year in the reporting period.
- Click on the Go Back button.
- If necessary, return to the active reports by selecting the current semester in the Set Reporting Period command.
- Reports in the archive can still be edited and updated by an administrator.
- It is important to archive every year in a reporting period, even if the year was not reported on in the reporting period.
- Don't forget to switch out of the archived reporting period before doing any new work.
