Working with Teachers

Once the reports are set up, by following the 10 Minute Getting Started Guide, it is time for teachers to start entering information onto the reports.

Passwords

Passwords in SM-Reports Online are never shown, even to an administrator. The email address of every user of SN must be entered in the Edit Teachers & Staff command. This is important because it allows users to reset their own passwords. The reports administrator is no longer is required to main the list of passwords, instead each user can reset and change her own password.

  • The easiest way to let teachers know their password is to ask them to use the Forgot, or don't have a password link on the login page.

An initial password is then emailed to the teacher. This should changed by the teacher with the Change Password button, after logging in.

Editing Reports

With a password, a teacher can login and start entering information onto the reports. Provided a teacher is listed in the Edit Classes command as the teacher of a class in the active reporting period, after logging in there is the Edit Reports button.

Clicking the Edit Reports button shows a page that is similar to the Old SM-Reports Work File program. Similar enough that previous users of SM-Reports can readily do reports in SM-Reports Online.

Keeping track of work

Two commands help to track the progress of the entering of information onto the reports.

  • Update Reports
  • List and View Reports

Once teachers start working, periodically check the List and View Reports command to see whether work is being done.

  • A red cross in the Up-to-date column of List and View Reports means new information have been entered in the Edit Reports command.

When there is a red cross in the Up-to-date column, choose the Update Reports to put the new information onto the reports.

After the Update Reports command is finished, check List and View Reports again and the Up-to-date column will be full of green ticks.

  • A red cross in the Complete column of List and View Reports means there are still gaps on the reports that need information to entered in the Edit Reports command.

This cycle of Update Reports followed by List and View Reports is done until the reports are complete and ready for checking.

Checking reports

Once reports are complete they can be checked. There are three different ways to check the reports.

  • An administrator can view online or download the report PDF files with the List and View Reports or Download Reports command.
  • The Create Summaries can create a single PDF files to view online or download which has all the entered information in a summary format.
  • The teachers can use the Print button of the Edit Reports command to print a page for checking offline.

Then corrections can be made with the Edit Reports command. The reports can be edited on a per student basis by clicking on the Students button in the Edit Reports commands.

After making changes in Edit Reports, any PDF files viewed in List and View Reports and the Download Reports command are out-of-date until the Update Reports command is used again. Using the Create Summaries commands shows the latest changes from Edit Reports without needing to update the reports.
